Procurement Planning:

  • Raw material in stock or access purchase order quantity or Semi-finished (intermediate Material) stock available quantity can be considered while calculating Shortage quantity.
  • Tracking will be available for procurement planning to purchase order and material received. Material in stock consider for the planning will be booked for this production, and this will not be available for next planning.
  • Purchase planning for Consumable Materials, packing materials etc., can be done by defining Minimum Stock Level for each Item. The Indent can be generated for the Item stock falling under minimum level.

Supplier Management and Control:

  • Supplier Category / supplier group - wise payment planning. Supplier wise Payment allocation will be done by finance controller. Accountant can mark bill wise payment planning under this allocation.
  • Supplier wise, credit limit and Credit days for due out standing & receivables. Special feature for entering possible payment receipts in next week / month – for batter finance control & payment planning.
  • Supplier wise transaction Currency can be fixed. Party ledger will be in defined currency – defined for each supplier .
  • Levy structure programmable for each supplier. While making PO tax details and terms will Come automatically.
  • Raw material Item alias name for Supplier’s Item name printing on Purchase order.
  • Party wise Terms and conditions , labeling details, Dispatch Instruction, Item wise specifications and other control data. These data will appear where ever required.
  • Supplier wise Item wise rate contract for open quantity or fix quantity for defined period.


Item Structure:

  • Flexible Item Grouping, Four levels of Groups with Hierarchy. 10 groups at same level. 10 features can be linked for special functionalities.
  • Item Search facility and Item filtering in reports based on Item grouping. Graphical view to see the Item group structure.
  • Item code & Name auto generation structure based on sort code given to Item groups.
  • Open Item features with values & Unit (like Height, width, length, thickness, density etc.). Dependable Item features for calculation from other Features (Like Area, weight, chargeable area etc.). Item features can be defined for each last level of Item group.

    Tester can view any SOP document parameter wise or Technical Document/ instructions from customer – in case of customer wise specification is required.
    New parameter (Out of specifications – in case of R&D) can be added for testing while generating AR no. or in-between testing.
  • Sample can be sent outside for testing. The test certificate can be attached and pass or fail status can be marked by the Tester. The tester also can change the standard cost of testing, if required.
  • QC In charge can monitor from “Quality testing Dash Board”, can approve sample, disapprove sample or ask for retesting. 
  • Retesting with selected parameters. The work will be generated and shown in pending – with retest status.
  • QC in charge can view Sample comparison report and parameter wise detail view.
  • Sample wise - Test certificate generation. Remark can be added for printing. Authorized person can change few configuration options while printing.

Intra- office Communicator- E-Mail Management system

IOC&EMS is an Organization level Solution, for managing e-mails and providing actor wise / role wise – auto filing of all the emails with subject, reference number and various linking for search attributes.

Chattary’s Email Management System ( C-EMS) is has the facility to compose mails and send to multiple users through “To” and “CC”. User wise folders of emails - Inbox, Out box, Sent , Draft , Junk and Archive.

C-EMS allows to generate multiple signatures to send emails for different purposes. User rights can be define to send mails, receive , Draft save, forward, delete mails and document attachments. This provides additional control on operations.

Contact management is available with user rights which can be used at organizational level. User rights can be given for Customer categories & Supplier categories. User can view `incoming mails and sent replies’ of the whole group or individual customer / supplier. All mails will be stored in common pool, and all authorized users can view them as per their respective rights. This will reduce CC mail marking help in knowledge management in long term. Contact management has types / categories like, customers, suppliers, employees ( users), agents and others. Special users can have assistant facility. User can write mails and save in draft , which can be seen by their assistants. The assistant can do the corrections and send them one by one.

System will generate auto reference numbers for incoming or outgoing mails. This reference number is used for forwarding, replying mails. This provides tracking of mails for multiple sending and replying. User can configure auto mail response, while he is out of office . C-EMS has a powerful search facility for authorized users, who can view stored mails with different search criteria.

List of unmanaged mails for the mails from unregistered email- id.. This can be managed by admin user. Higher Authority can mark Mails “on hold” for some discussion.

    b. Server will take care for sending mails. No need to have internet on each computer /machine.
    c. Undefined outgoing e-mails can be allocated later.
    d. The user’s e-mails can be monitored by higher level authorities. These higher level authorities can be defined in the system.
    e. Auto- email can be configured for certain transactions. For example PO& SO. E-mail Content will be dynamically built with current details. Content for each functionality can be configured in master.
    f. Outbox mail list will show the sent mails, the failed mails and the pending mails.
  4. Mail management:
    a. Mails can be deleted by Administrator/ super user.
    b. Rights for sending mail, attaching documents, forwarding e-mail and for reply can be given.
    c. E-Mails can be saved in draft mode temporarily before sending.
    d. Log book maintenance for incoming and outgoing mails is present. MIS reports for e-mail activities.

Intra- office Communicator- Work Flow Management System

  1. User wise Dash Board – common Dash board for Work assigned, work related messages , alerts, intimations , Reminders, Follow-ups and for incoming- out going e-mails
  2. Work list is for the pending work, work in process, work completed. This will be shown in the list with different colours and the details can be seen after clicking the list Item.
  3. Work will be generated from the “Task management system” of ERP, which is well integrated with ERP with each transaction, Masters and other events. The task can be generated from Reminder and Follow up module also, where user can configure reminder and follow up for him or any other user.
  4. User can report for the work / task and enter the details. He can mark work completed or keep it pending. User can also forward work/ task to other user. In this case this work will be shown in the list as “in Process” status- until the last user mark the work complete.
  5. When the user mark the work in the list “Complete “, the work will be removed from the list of pending work of that user.
  6. The completed work list can be seen by pressing one button. Date filter, subject filter, reference filter, from user filter is available.
  7. User can click on any work to see the details. Complete tracking will be shown from beginning for that work/ task.

Work / Task management

  1. Work / Task can be defined for events.
  2. Any ERP transaction is considered as an event. For addition, editing and deleting transactions the events will be different.
  3. Work / task created by transaction event will have transaction type (identity- like PO, GRN, indent), transaction sub type (Asset- PO, Raw material PO, etc.), transaction number, date , subject –additional field predefined for each transaction- like supplier name in PO.
  4. Task can be set automatically or manually –transaction wise.
  5. Transaction print out can be attached automatically.
  6. Content of message for task can be configured by dynamic message builder. The details will be inserted automatically in configured message by the system.
  7. Task can be intimation type. Intimation can be delivered on email to outside of organization persons like suppliers or customers. Auto e-mail will be sent for intimation with attachment of transaction print out (if required).
  8. Manual work / Task can be generated for one or multiple user. Subject and details for the work can be entered while defining the task.

Reminder Module

  1. Reminder can be set – day wise, weekly, monthly, yearly.
  2. Content for messaging can be programmed by using Dynamic Message builder.
  3. Reminder can be sent to one or multiple users. This can be sent to suppliers and customer also as a mail or SMS.
  4. The reminder can be configured for shooting reminder to user before days, set by the user.

Follow-up Module

  1. Follow up can be set by any user for himself or any other users.
  2. Content for messaging can be programmed by using Dynamic Message builder.
  3. Follow –up can be sent to one or multiple users.
  4. New follow up in Work flow management system – can be set in the replying for follow-up with new date and new action remark. Complete tracking can be seen for the old and new follow-ups.

Document management System

A Built in feature to save and access Documents, control the flow and management with access rights

  1. Documents can be attached with any ERP transaction or Master.
  2. ERP transaction / master name , transaction number , date , subject ( predefined for transactions )
  3. ERP module will be automatically become document type. Transaction name will become document sub type; transaction number will become reference number.
  4. Documents can be attached by clicking the “DOCUMENT” button on each form. The related details will be fetched automatically by system.
  5. One transaction document can be seen on other concerned transactions.
  6. Documents attached with Item like Design document, specification document, safety document can be seen as and when required after selection of that Item on that form.
  7. Authority of document view will be as per authority of transaction access to the user.
  8. Multiple documents can be attached for same reference. System will preserve it as an additional version of that document (Version Control). User cannot delete any document once it is attached. Only super admin can remove from different form given for Document management.
  9. Separate DMS module to access document as per authority. Same document attached in ERP can be viewed / managed.
  10. Transaction print out can be attached automatically, if configuration is done.
